Purpose of the Role:
- Responsible for the implementation and control of Time and Attendance best practice and Organisational Management (OM) on SAP HCM. Drive and enable the effective and accurate utilization of the BESTime T&A system, OrgChartNow, HR workflows, SharePoint, HR Manage, reporting tools and interfaces. Ensuring that the T&A system is maintained and used correctly to accurately record employees time and attendance records for upload into the payroll systems. Provide specialist guidance and effective facilitation of competency-based training in T&A and HR Information Systems as well as provide HRIS support to both HR Practitioners and employee end-users.
Main Responsibilities:
T&A Application Support
- Manage day to day liaison between consultants, BCX help desk and end-users. Attend to daily user calls on Remedy and escalate to consultants if it cannot be resolved internally. Define & Ensure T&A standards applied across the business.
SAP Organisational Management (OM)
- Act as the primary liaison between HRIS team and HR business users. Manage and resolve daily user requests/queries through OM workflows. Maintain, and enforce SAP Organisational Management (OM) standards to ensure consistency and data integrity across the business.
BESTime
- Daily Activities (shifts, rosters, leave, sign-off).
- Analyze & document business requirements for new developments.
- Develop/Configure Shifts & Work Schedules based on business requirements.
- Manage profile maintenance (new user accounts, re-activation, de-activations).
- Monthly Time & Leave Export uploads into Payroll.
- Document and maintain all existing and new process, procedures and manuals.
- Report queries, Shift allocation queries, timesheets and leave booking queries.
- Period activities (Payroll file allocation).
- Approved work schedules application.
BESAccess
- Employee and Contractor take-on queries.
- Zones allocation queries.
- Resolving site access queries.
- Maintain Contractor movements.
- Reporting queries.
T&A Reporting
- Achieve strategic time & attendance reporting KPIs and develop/ enhance reports to deliver these.
- Adapt and develop new value-added reports as required by the business.
- Build strategic reports as per requests from the business.
- Monthly reporting on overtime and allowances paid to establish and monitor trends on expenses.
- Exception reporting on time entry approvals/sign-off per level of authority.
- Exception reporting on clocked hours that do not match access entry point recordings.
T&A Leave Management
- Ensure that system controls around leave are correctly implemented and monitored.
- Monitoring of leave patterns and report on trends and anomalies identified.
- Ensure that all T&A users responsible for capturing leave are fully competent.
- Manage the Auto approvals of leave on workflow bi-annually.
T&A Authorizations
- Approve workflows for all new users and change the user requests on BESTime.
- Ensure that change requests are actioned timeously.
- Create and amend user profiles required in BESTime as requested by business and correct processes are followed.
- Ensure compliance with necessary change control procedures associated with system authorizations.
- Create, Edit and Deactivate users from BESTime / BesAccess.
- Issue Org, Shift & Work Schedule access.
- Maintain Access level Sheet.
SAP Organisational Management (OM)
- Support HR business users on SAP OM processes, standards, and best practices.
- Create, update, and maintain organisational structures and positions in SAP, ensuring data accuracy and integrity.
- Process and implement approved organisational structure changes in line with business requirements.
- Ensure SAP OM structures remain aligned to the business operating model and reporting lines.
- Monitor and validate organisational data to ensure consistency between SAP structures and actual staffing.
- Perform monthly reconciliations of organisational structures against headcount and report variances.
- Maintain proper audit trails and documentation for all organisational changes.
- Support compliance and reporting requirements by ensuring OM data is accurate and up to date.
- Escalate system or structural issues where required and support resolution with relevant stakeholders.
- Assist with continuous improvement of OM processes and data quality.
End User Support
- As a Superuser and HRIS Specialist, understand HR system usage and requirements to support HR users and employees
using HR systems.
- Liaise with Service Providers, I.T. and Employees to resolve system integration issues (ID Number / AD Account
mismatches).
- Resolve queries related to OM, HR Workflows, HR Team Site or Org Chart Now.
SLA Management and Systems Administration
- Manage and resolve any service level support and maintenance items with OrgChartNow including access, functionality, nterface, and SAP refresh for OrgChartNow, SharePoint or Workflows.
- Manage all HR workflows, assist with queries and resolve any problems through troubleshooting and route cause analysis.
- Maintain templates, load new users and resolve any queries regarding OrgChartNow or new users not picked up on SharePoint with access to Team Sites.
- Maintain the Outlook HR Groups, updating Outlook with HR that need to be added to the group mailing lists based on information on SAP about new joiners, leavers and promotions and transfers.
- Work directly with the service providers as needed for troubleshooting and evaluation of new technology solutions.
Training
- Develop, maintain, coordinate and present learning material and documentation on current system and new developments for HRIS end-users.
- Train staff and super users across the group. Ensure that all users have the required knowledge and skills to use the system optimally.
- Ensure that BESTime reporting functionality is used by business users to better manage staff and eliminate time wastage.
- Adapt and develop new reports as required by the business.
HR Systems Project Support
- Supports the HRIS Manager to develop business requirements for any T&A and HR system development or modifications.
- Testing UAR, Functionality and upgrades.
- Test system enhancements, as and when required - to ensure that upgrade requirements and the needs of the business are addressed.
- Follow through to ensure that quality and productivity standards of work are consistently and accurately maintained.
- Assist with the design and implementation of T&A and HR systems and processes on projects.
- Act as a change agent providing the support and mechanisms to implement major changes to the operations of the business including Mass Data Uploads.
Minimum Requirements:
- Relevant I.T Degree or equivalent preferably with an Information Systems focus.
- Minimum 3 years’ experience in Time & Attendance systems and procedures.
- Minimum 2 years’ experience in Organisational Management (OM) on SAP HCM.
- Must have worked on Business processes and SOPs.
- SharePoint administration level (Permissions, document management, interfaces, configuration and web applications).
- Strong communication and training skills required.
- Excel Super-user level.
- OrgChartNow Super-user level.
- SAP HCM modules advantageous.
- Working with project teams.
- Valid Code EB drivers’ licence.
