Executive Assistant - Retail Distribution

Role Purpose
Botswana Life is looking for suitably qualified candidates to fill in the role of Executive Assistant - Retail Distribution, by operating as the first point of contact for internal and external customers and stakeholders. This includes managing the Executive Director - Retail Distribution's office on a daily basis, managing their diary and coordinating all communication.
Role Responsibilities
Administrative, Strategic and Operational
- Manages the Executive Director - Retail Distribution's diary as well as those of the various sales managers.
- Arranges travel and all other related logistics for the Executive Director and various sales managers.
- Tracks, reports and ensures the delivery of strategic commitments for the Strategy Manager.
- Manage the resolution of complaints lodged directly in the Executive Director - Retail Distribution’s office
- On a monthly basis coordinate and facilitate Executive committee meetings, prepare minutes and compile reports to track strategic progress against the overall business strategy.
- Assists in preparation of Board reports and submit to the Board Secretary, work closely with the Board Secretary to prepare quarterly Board meetings.
- Work closely with the PR and marketing team to coordinate communication in the Executive Director's office to staff and all other stakeholders.
- Work closely with Group, requesting reports, setting up meetings and all other requirements from the Group.
- Daily Overall running of the Executive Director's office; office supplies, preparation for meetings, catering.
- Daily management of the Executive support team (leave management, performance ratings)
- Work closely with PR & Marketing and departments to organise events for the Executive Director's office.
- Manages expenses related to the Executive Director's travel, supplies, and other resources responsibly and within budget constraints to maintain financial accountability and optimize resource use.
Compliance and Risk
- Ensures that Governance and Control is maintained in the Executive Director's office by always checking and ensuring that documents have passed through all controls and signed off by relevant stakeholders
Qualifications & Experience
- Bachelors Degree in Business Administration or related qualificationÂ
- Three (3) years’ experience as a secretary with thorough knowledge and experience in office administration.
Skills & Competencies
- Sound experience in life insurance environment with advanced product knowledge.Â
- Demonstrate knowledge and technical background compliance and risk management principles and practices.
- Proven background in managerial leadership and report writing.
- Demonstrate strong communication, negotiation and influential skills, advocacy skills, interpersonal skills and stakeholder management skills.
- Demonstrate understanding of strategic management, project planning, resource management, implementation, monitoring, and evaluation.
