Role Purpose

The Creditors Clerk (Credit Card Reconciliations) is responsible for ensuring the accurate and timely capturing of company credit card transactions. This role involves reviewing, verifying, and matching credit card transactions with supporting documentation, liaising with internal stakeholders to resolve discrepancies, and ensuring compliance with company policies and financial regulations.

Required Qualifications & Experience: 

  • Matric/Grade 12 with mathematics and accounting
  • 1 year creditors experience preferable or similar experience within a financial department.
  • Relevant SAP experience

Required Knowledge & Skills

  • Creditor or supplier administration practices

  • Minimum skills for functioning in a SAP environment

Key Responsibilities 

1. Credit Card Reconciliations:

  • Perform monthly reconciliations of corporate credit card transactions.
  • Match transactions to supporting invoices, receipts, and recons.
  • Investigate and resolve any discrepancies or unauthorized transactions.

2. Transaction Processing & Compliance:

  • Ensure all credit card transactions comply with company policies and financial controls.
  • Follow up with employees for missing receipts or incorrect expense allocations.
  • Identify and escalate any irregular or fraudulent transactions.

3. Reporting & Documentation:

  • Prepare reconciliation reports for management review.
  • Maintain accurate and up-to-date records of all credit card transactions.
  • Assist in preparing reports for financial reviews.

4. Stakeholder Communication:

  • Liaise with cardholders to resolve reconciliation queries.
  • Work closely with the finance team to ensure accurate expense allocation.
  • Communicate with the bank regarding disputed transactions.

5. Teamwork and Self-management

  • Take ownership and accountability for tasks and activities and demonstrate effective self management in terms of planning, prioritizing and self management.
  • Follow through to ensure that quality and productivity standards of work are accurately and consistently maintained.
  • Inform relevant parties in the event of tasks or deadlines not met, the potential risks thereof and provide appropriate resolution.
